HR Operations Executive

The HR Operations Executive will play a central role in overseeing, managing, and streamlining the human resources activities within the Operations department. The responsibilities will encompass budget management, policy implementation, improvement of employee relations, recruitment and onboarding, payroll, learning and development and organization of welfare activities. The incumbent will lead a high quality and responsive HR service to the business units / departments forming part of the Group Operations.

Main Responsibilities

  • Maintain accurate and up-to-date employee records, including personal information, employment contracts, performance reviews, confirmation letters and attendance on both HRIS and SharePoint
  • Manage HR systems and ensure information are up to date
  • Prepare and manage HR-related documentation such as offer letters, employment contracts, and termination letters, promotion and increment letters
  • Coordinate the recruitment process, including posting job vacancies, screening resumes, attending interviews as per company policy and in consultation with the Group HR function
  • Ensure that new hires attend induction and understand company policies
  • Ensure all new hire paperwork is completed accurately and submitted in a timely manner
  • Manage the onboarding process for new employees, ensuring they have the necessary tools, for instance laptop, desk, uniforms, fuel card and sim card where applicable
  • Process payroll for the business units forming part of the Operations department in a timely and accurate manner, ensuring compliance with local regulations
  • Administer employee benefits programs, including health insurance, retirement plans, and other company-specific benefits
  • Resolve any payroll or benefits-related inquiries from employees
  • Ensure compliance with local labour laws, company policies and HR SOPs
  • Prepare and submit necessary HR reports to Group HR Executive, including headcount, turnover, and absence reports
  • Identify training needs in collaboration with department heads
  • Organize and coordinate learning and development programs, workshops, and training sessions to enhance employee skills and competencies
  • Track the G1 and G3 application on the HRDC platform for refund purposes
  • Plan and execute employee welfare activities and events aimed at promoting a positive work environment
  • Handle employee grievances, ensuring concerns are addressed promptly and fairly
  • Investigate complaints and conduct thorough inquiries into employee grievances
  • Manage disciplinary processes in accordance with company policies, including issuing warnings, conducting disciplinary hearings, and recommending corrective actions with the assistance of the legal advisor
  • Prepare monthly HR reports for senior management, providing insights and recommendations based on the analysis of HR metrics
  • Act as a point of contact for employee queries regarding HR policies and procedures
  • Administer the company’s performance appraisal process for the departments forming part of Group Operations, ensuring timely and accurate completion of performance reviews (Mid-year and final year-end reviews)
  • Assist HODs and employees in setting clear and achievable performance goals
  • Provide guidance on the performance appraisal process, including training managers on effective evaluation techniques

Education :

  • Degree in Human Resources Management or Management with specialization in HR

  • Proficient in Microsoft Office

  • Proficient with HRIS for instance: Vipertex and Sicorax

Experience :

  • Minimum of five years’ experience in a similar position
